Servicing & Assets Coordinator - Film and TV deliverables
Reporting to: Head of Sales
Responsible for managing, coordinating and sometimes creating all assets & deliveries, in a smooth, effective and cost-effective manner.
Be able to clarify and explain the items in the deliverables list when needed or requested by the producers.
Responsible for monetising sales of deliverables to our clients, maximising revenue and hitting the sales targets.
Key liaison and main point of contact with buyers to supply deliveries to full execution and negotiate when necessary the items in the delivery list.
Key liaison and main point of contact between producers and distributors for artwork approval.
Collate, book in and record assets for each new film acquired. Ensure all new films have the proper logos and credits info in relation to Dogwoof logo, Tdog logo, exec producers logo in film master as well as billing block or other marketing material.
Coordinate the maintenance of existing materials/asset database and delivery to third parties of required assets within the outlined timeframe.
Ensuring all assets in the deliverables list for all new acquisitions are delivered to Dogwoof by the producers and each film is fully delivered, including legal documents.
Ensuring all assets for films Dogwoof sells to broadcasters and All rights distributors are delivered on time including Audiovisuals materials delivered by the Lab.
Be the main point of contact between the producer, filmmaker and 3rd parties such as labs, distributor , broadcasters to run approvals on artwork, trailer, DVD covers, Extras.
Ensure the team are educated in the Asset Management process.
Co-ordinating the creation of promotional and sales materials for UK and global film festivals (including showreels, clips, artwork and EPKs).
Managing, implementing, and maintaining Box and overall naming and filing conventions for the company.
Key liaison and main point of contact with producers and filmmakers when taking delivery and explaining the process.
Key liaison and main point of contact with buyers to supply deliveries to full execution, legal, marketing and ensure physical delivery takes place in a timely manner.
Key liaison and main point of contact between producers and distributors on the artwork approval process.
Production & Servicing Management:
Responsible for DVD and digital delivery, coordinating with servicing provider Reindeer on DVD creation/release, digital assets creation/delivery and material booking (executed by Lab).
Work to strict deadlines to the highest quality and the lowest possible cost. You will also gather all necessary assets (artwork, extras, trailers etc) and coordinate with relevant suppliers to produce DVD end product before delivering to wholesalers ( executed by Lab).
Co-ordinating the creation of DVDs/Blu-rays with the lab - categorises DVDs, clearing music and stills used in menus, approving DVD/Blu-ray menus.
Collecting the assets for DVD/Blu-ray and iTunes extras from filmmakers/producers.
Managing digital streaming / Tvod deliveries.
Liaising with Labs regarding Dogwoof's day-to-day needs including creation of DVD/Blu-ray.
Looking after Dogwoof technical assets such as cameras, microphones, live stream device, and making sure they are stored properly and maintained.
Sales/ Creation of Assets:
Negotiate the access fee for marketing assets of trailer or poster with the US distributor, lab or producers.
Strategise with head of Sales the cost /sales of marketing assets and other deliverables per film / territory to ensure profitability and meeting the sales target.
Managing and handling the deliverables sales process at all stages: Taking delivery, raising invoices,, ensuring payment of materials invoice, follow up full delivery until QC confirmation is sent by the client.
On going update of the Sales Delivery Status sheet per deal at all times.
On going update of market asset spreadsheet log per film title in Global.
Populating Dogwoof's Vimeo page with up-to-date cuts of new films and TV cuts to all Dogwoof streaming platforms, Indee.
Coordinating the delivery and creation of iTunes extra package (executed by Lab).
Maintaining Dogwoof's Box folders - importing library titles as well as populating new titles/assets.
Co-ordinating DCP QC and repackaging of both features and trailers with MPS.
Co-ordinating the Deluxe team in regards to deliveries to Netflix, iTunes and GooglePlay. including trailers, feature and subtitles where needed (executed by Lab).
Skills & Experience:
At least 1 year of working within a technical servicing role for a film distributor or post production house.
Would suit somebody with a technical profile, editing skills, with an eye for detail.
Used to working to tight deadlines essential.
Organised, ability to handles stress with a sense of humour.
Passion for documentaries.

Dogwoof Student Internship Programmes
Dogwoof is a specialist UK distributor with a focus on documentary films. We offer student internship programmes that will give successful applicants an introduction to the world of film distribution working in a busy central-London office with a team of experienced film professionals.
Experience working in film distribution or other film roles will be an advantage but is by no means essential. We are looking for people used to working in an office environment, who are not afraid to speak up and offer an original opinion and point of view. Ideal candidates will be confident speaking on the phone, have good task-management skills and familiarity with social media – and of course, a passion for independent film!
Full-time; start-date from September 2019 onwards
Length: 1 - 9 months
We are taking applications for unpaid work experience placements that constitute a formal requirement of a UK-based further or higher education course or EU Lifelong Learning Programmes (Leonardo da Vinci, European Community Youth in Action, Erasmus or Comenius). Documentation from the institution will be required.
